American Theological Library Association Records - Addendum B

 Collection
Call Number: RG 163B

Scope and Contents

The Yale Divinity Library was designated as the official repository for the archives of the American Theological Library Association in 2000. Record Group 163B is the second addendum to the original records received at that time. According to ATLA policy, records of the Board of Directors are sent directly to the archives at Yale Divinity Library while the ATLA's operational records are compiled by their on-site records manager and then sent to the Yale Divinity Library. For this reason the Board of Directors records in this collection extend into 2014 while ATLA operational records generally date up to 2009, with some publications and conference records dating to 2012. The series structure of this record group reflects ATLA's administrative organization.

Series I, Board of Directors, includes Board meeting agendas and minutes, as well as materials of the Board's Executive Committee. Since the dockets for Board meetings include reports documenting ATLA activities, this series provides a concise overview of the organization's work.

Series II, Departments, includes a sub-series for each department, arranged in alphabetical order by department name beginning with a sub-series for Executive Director files. Records of the Executive Director include correspondence, annual reports to the Board of Directors, and information regarding employment agreements. The remaining department sub-series are: Electronic Products and Services, Financial Services, Member Services, and Preservation. The Financial Services Department sub-series includes financial reports, statements and independent audits of the organization. Housed in the sub-series for Member Services are copies of the ATLA newsletters, Theological Librarianship Journal, Proceedings and other records of the ATLA's annual conferences, the ATLA Serials Exchange program (formerly known as the Library Materials Exchange program), additional ATLA publications, and records of the ATLA website. Materials regarding annual conference planning are filed under Series III, Committees of the Association, sub-series Annual Conference Committee. The sub-series for the ATLA Serials Exchange Department includes correspondence and database design proposals. Preservation Department records include correspondence.

Series III, Committees of the Association, includes sub-series for each type of committee in ATLA: committees appointed by the Executive Director, joint committees established by the Board, advisory committees, and special committees and standing committees of the Board. Within each sub-series, the committees are arranged alphabetically by committee name. Committees appointed by the Executive Director include: Annual Conference Committee, Education Committee, Emergency Response Team Committee, Endowment Committee, Enterprise Content Management Committee, Historic/Archives Committee, International Collaboration Committee, Local Host Committee, Professional Development Committee, Publications Committee, and Supervisor Evaluation Task Force Committee. Joint committees established by the Board includes the Committee on Standards for Regional Groups in ATLA. Advisory committees include: Preservation Advisory Committee and the Technology Advisory Committee. Special committees and standing committees of the Board include: Nominating Committee, Tellers Committee, and the ATLA/ATS Digital Standards and Projects Committee.

Series IV, Interest Groups, contains records of ATLA's Interest Groups, includes a sub-series General containing correspondence to all Interest Groups, followed by sub-series arranged in alphabetical order by group name, including: Automation and Technology, Collection Evaluation and Development, College and University, Lesbian and Gay, OCLC Theological User Group, Public Services, Publications, and Technical Services.

Series V, Affiliated Institutions and Organizations, includes a file containing materials regarding BETH, Bibliothèques Européennes de Théologie.

Series VI, Photographs and Ephemera, contains photographs and ephemera from various ATLA events. Series VII, Publications, contains copies of books published under ATLA programs. Series VIII, Grant, contains documentation of grant projects.
